JOB DESCRIPTION

ADMIN & TICKETING SALES SUPPORT

Part-Time (four hours a day) Monday through Friday, 8:30 AM to 12:30 PM

DIRECT SUPERVISOR: Operations Manager

PRIMARY FUNCTION

This position works within a small and hardworking staff team and provides administrative and ticketing sales support for office work flow in support of the Scottsdale Charros staff and membership.  This includes answering phones; taking and tracking event/meeting RSVPs; drafting correspondences and acknowledgements; coordinating calendars; fulfilling member requests; sorting and organizing mail; processing check and credit card payments; data entry into web-based ticketing systems and web-based CRM system; organizing and preparing  materials, documents and files.

REQUIREMENTS

  • Must have proven skillset using Microsoft Office Suite programs, including Word, Excel and Outlook
  • Must be able to answer questions in regards to Scottsdale Charros and The Charro Foundation events and programs
  • Must possess excellent customer service skills to perform ticketing and event sales with the ability to upsell
  • Database administration and upkeep experience a plus
  • Event support and project coordination desired
  • Experience in working with volunteers to achieve goals and plan events and programs desired
  • Ability to be flexible
  • Must have excellent oral and writing skills

PRIMARY RESPONSIBILITIES

General Office:

  • Provide office coverage
  • First responder to incoming calls, answering inquiries from members and the general public
  • Order office supplies
  • Run business-related errands
  • Organize files on Dropbox, internal shared drive and physical files
  • Open and distribute mail on a daily basis
  • Log checks, process invoices and prepare materials to send to outside accounting firm
  • Reconcile monthly credit card statements
  • Scan contracts, documents and bank statements and file in appropriate files
  • Meeting materials packet prep for Concilio, Foundation Board, General Membership Meetings and Committees
  • Membership Orientation administrative support for new members

Spring Training Baseball and Charro Lodge Sales and Admin Support:

  • Actively sell and upsell Charro Lodge passes and spring training sponsorships over the phone
  • Answer inquiries for Charro Lodge sales and sponsorships
  • Input sales into web-based ticket sales system and log Charro Lodge orders
  • Run business related errands
  • Provide administrative support for Spring Training Baseball

Scottsdale Charros Admin & Ticketing Sales Support Position, cont.

 

Member Customer Service and Communications:

  • Respond to requests from membership and public on behalf of staff
  • Set board and committee meetings and send meeting invites to appropriate members
  • Send weekly calendar and meeting notices to membership
  • Collect and track event RSVPs

Charitable Contributions, Program and Other Event Support:

  • Manage logistics of scholarship applications; process, record and prep for committee meetings
  • Organize and assist with annual grant cycle process and applications submission and review
  • Intake and process sponsorship requests, including intake of requests, documenting scanning, distributing and filing of requests
  • Draft, mail merge, print and mail letters on behalf of committee chairs and staff
  • Provide support for the Scottsdale Showdown -event as requested
  • Provide support on the Education Initiatives Program and Awards Banquet
  • Provide support for the Annual Ride
  • Provide other meetings and programs support as assigned

Website/Backend of Website/Social Media:

  • Update and access database according to policies and timeline and as requested by staff and membership
  • Assist with updating website content
  • Assist with social media posts (Facebook, Twitter, Instagram and Blog)

  • Always keeps an eye on all deadlines while juggling multiple tasks; and,
  • Has a great sense of humor while doing all of the above.

SKILLS / KNOWLEDGE REQUIRED

  • Two years direct experience in an administrative assistant and customer service role
  • Experience with nonprofit or association and special events work a plus
  • Attention to detail and pride in work
  • Demonstrated ability to assist with organizing, planning and coordinating multiple projects

Other Requirements:

This position functions in an office environment and requires local travel for business errands. Must have reliable transportation.  Must be comfortable in providing office coverage alone and able to operate general office equipment.

Collaboration to Celebrate Western Heritage with Bull Riding and Country Music

Scottsdale, Ariz. (August 19, 2013) – The Scottsdale Charros are pleased to announce an exciting new partnership with the Ak-Chin Indian Community – the presenting sponsor of the Scottsdale Showdown. This event, new to the Valley, takes place on October 19, 2013 at WestWorld of Scottsdale. Hosted by the Scottsdale Charros and sponsored by KMLE Country @107.9, Valley Chevrolet Dealers, Bud Light and Hensley Beverage Company, the event includes one of the largest bull riding competitions in the Southwest and a star-studded country concert.

Following the Chute Out, from 8 p.m. to midnight, is The Bud Light Bullpen Concert featuring country music national recording artists Montgomery Gentry, Jerrod Niemann and Maggie Rose.

Charros Last Pitch Event – March 23, 2013

SCOTTSDALE CHARROS CELEBRATE SPRING TRAINING AT THE LAST PITCH

 Scottsdale, Ariz. (February 4, 2013) – Celebrate spring training in style during the Last Pitch event on Saturday, March 23, 2013 from 6-10 p.m. at the Galleria Corporate Centre, 4343 N. Scottsdale Rd. in Old Town Scottsdale. Yavapai and Laguna Elementary Schools Awarded Scottsdale Charros Education Grants

SCOTTSDALE, Ariz. (January 28, 2013) – The Scottsdale Charros are pleased to announce that Yavapai and Laguna Elementary Schools are the recipients of The Charro Foundation 2013 Charro Education Grants. Each school will receive $12,500 to fund technology in the classroom.

The Charro Education Grant is intended to provide financial assistance for Scottsdale Unified School District (SUSD) schools for projects, equipment and programs related to the classroom, athletics or infrastructure that are not currently funded through traditional funding streams. In addition to detailing how the funds would be utilized, the grant application included a request for student prepared short essays demonstrating their desire to receive the funding and how it would impact their feelings towards their school and enhance their education.

“Education programs and the students at SUSD schools have been, and will always be, a priority to the Charros,” said Dr. Hannifa Jones, Scottsdale Charros Education Chairman. “We know that budgets are tight and don’t allow our schools and our teachers to procure instrumental learning tools for their students. The Scottsdale Charros are proud to help out Yavapai and Laguna Schools with these grants which will level the playing field for many students.”

Charros to Host SUSD Students at Annual Lunch and Baseball Clinic

SCOTTSDALE, Ariz. (January 21, 2013) – The Scottsdale Charros are pleased to host their annual Youth Luncheon & Clinic at Scottsdale Stadium on Thursday, January 24, 2013, from 11 a.m. to 1:30 p.m. The Charros partner with Arizona Baseball Charities, the City of Scottsdale and Major League Baseball Players Alumni Association (MLBPAA) to produce this event for students in the Scottsdale Unified School District (SUSD).

“Every year more than 300 deserving students, selected by their principals, arrive by the busloads at Scottsdale Stadium to join Major League Baseball greats for a day of learning and fun on the field,” said David Westra, Scottsdale Charros 2013 Baseball Chair. Leadership skills, along with baseball drills, are taught by MLBPAA members. “The Scottsdale Charros are dedicated to serving and supporting SUSD students, teachers and schools through a broad spectrum of education programs, including the Youth Luncheon & Clinic.”

MLBPAA members slated to lead the clinic include: Ethan Blackaby, Leon Brown, Byron Browne, Steven Bumbry, Larry Collura, John D’Acquisto, Duffy Dyer, Tom Egan, Tony Phillips, Mike Remlinger, Al Schmelz and Mike Sember.

We’re Hiring! Customer Service / Ticketing / Office Support

The Charros are seeking a customer service/ticketing extraordinaire! This is a full-time, temporary position (8:30 a.m. to 5 p.m. Monday through Friday) through the end of April. The position pays $15 per hour.

Job Description: Customer Service & Ticket Sales for 2013 Spring Training

Candidate must:

  • Be computer literate and comfortable with learning a web-based ticket ordering system and is experienced with Microsoft Word suite programs. Staff will teach this position how to enter and fulfill ticket orders and invoices
  • Easily learn and be able to use the ticketing system to fill group and ticket orders while keeping an eye on reducing inventory
  • Have exceptional customer service skills over the phone, in person and within the Charros staff team.
  • Be willing to answer phones and handle multiple lines at once for incoming calls
  • Be a problem solver and solution maker for ticketing and other issues
  • Work as a team member with the Charro staff and assist with admin duties such as invoicing, copying, filing and mailings
  • Assist and/or lead manual & electronic ticket fulfillment in February and March, ensuring accuracy of orders
  • Be flexible and able to handle working with volunteers, specifically Charro members

Application Deadline Approaching for Master’s Fellowship

The Charro Foundation Master’s in Education Fellowship was established to encourage teachers in the Scottsdale Unified School District (SUSD) to maintain their dedication to the field of teaching and become accomplished teachers by continuing their education at Arizona State University (ASU) in a master’s program in the Mary Lou Fulton Teachers College. 

The fellowship program is open to teachers currently employed by SUSD and is administered by ASU.  Four fellowships in the amount of up to $5,000 will be awarded in July 2013 and are renewable for two additional consecutive years (awarding up to $15,000 total per fellowship). Applications are due February 1, 2013 for the fall 2013 semester.
